In Short
There are many customer service platforms on the market, and they all sound alike: omnichannel, AI, automation. This article explains why organisations choose Next4biz, drawing on what our customers say in their own words, on measurable differences and on facts that can be verified. We do not just list what makes us different; we say plainly why it matters. If you are in a hurry, here is the summary:
- One integrated platform: Omnichannel communication, end-to-end workflows, no-code configuration and AI in a single product. Not a patch, but parts of the same body.
- AI that delivers real benefit: Noise filtering, automatic replies, automatic categorisation and routing, category-level insight. Four capabilities that work every day, on every case.
- Real R&D: A certified R&D centre since 2017; papers in IEEE Access and a Springer Q1 journal; our first commercial AI product shipped in 2016.
- No-code agility: Business teams change categories, forms, workflows, rules, SLAs and scripts themselves.
- Ready and integrated: It works out of the box; it is configured and integrated, not built. Call centre, ERP, CRM, social media, marketplace and bot integrations are mature, reusable patterns.
- Data residency and compliance: Data centres in Germany, the United Kingdom, the United States and Türkiye; GDPR, UK GDPR, CCPA and KVKK commitments; deployed at a BaFin-licensed bank; on-premises or SaaS.
- Two decades of enterprise experience: Founded in 2006; more than a hundred organisations and over a hundred thousand users in more than ten languages; the most widely adopted customer service solution in Türkiye.
- A return on your investment: A roadmap, a training programme and professional project management set expectations correctly and measure the intended benefit.
One Integrated Platform, Not a Patch
Customer service management stands on four legs: every channel merging into a single customer history (omnichannel), work that cannot be resolved at first contact moving through a defined workflow, business teams being able to change that structure without writing code, and AI operating on top of it. Remove one leg and the others lose their value. If channels are not unified, the picture the AI sees is incomplete; if there is no workflow, automatic categorisation has nowhere to route; if there is no no-code agility, every new category becomes a development project.
Next4biz CSM delivers all four in one product. Its AI capabilities are not a separate tool or a bolt-on module; they are components that run as an integral part of the existing product infrastructure. Partial solutions that fix one channel or one problem look attractive on paper, but in practice they produce a fragmented landscape, repeated integration costs and context lost between channels. The result is wasted time and money.
In our omnichannel approach, the channel is just one attribute of a case. Phone, email, live chat, WhatsApp, social media, marketplace questions, app store reviews, complaint and review platforms, the self-service portal: all of them attach to the same category tree, the same workflow and the same customer record. Customer identity is matched across channels, duplicate cases are merged, and when a customer moves from live chat to a phone call the agent sees where the conversation left off. When a bot hands over, the full transcript, the detected category and the information collected reach the agent intact.
AI: Real Benefit, Not Promises
AI promises a lot. We built Next4biz so that AI delivers real benefit in your operation: less workload, faster responses, higher productivity. Instead of grand claims, here are four capabilities that work every day, on every case.
1. Noise is filtered at the door
A large share of what arrives on written channels is not work: auto-replies, newsletter copies, misrouted emails, emojis, hundreds of one-word comments under a campaign post. PRIME (Priority Ranking & Interaction Management Engine) listens to every written channel and decides whether each incoming item is a genuine customer case that needs handling. Every valid message is typed as a complaint, request, information, thank-you or spam; it is prioritised by tone, topic and impact, and every decision carries a confidence score. Thousands of messages may arrive on a campaign day, but your team works on real cases, not noise.
2. Questions are answered automatically
The AI Agent for written channels handles cases arriving from email, social media, marketplaces and review platforms, trained on your documents, your website, your past experience and your web services. What it can answer, it answers in your brand voice, pulling data from integrated systems to close the case; what it cannot, it turns into a case and starts the relevant workflow. Your organisation decides in which categories a reply goes out directly and in which agent approval is mandatory. The LiveChat and WhatsApp bots work in hybrid mode: a rule-based (guided) bot runs structured tasks without error, while an LLM-based bot understands free text. The bot does more than inform: it checks status, creates and updates cases, and hands the conversation to an agent with full context when needed.
3. The right workflow starts by itself
Issue Intelligence places every case that passes the initial filter into the right category of your own category tree and routes it to the team, SLA and workflow attached to that category. The same classification logic applies whether the source is email, social media, the call centre or self-service. Nobody has to ask "who should this go to?", and every correction an agent makes improves the model's next decision. Issue Intelligence was our first commercial AI product, announced in 2016.
4. Insights come to the surface
AI Category Summarisation answers the question "what is happening most?" for every category by reading complaints and resolutions together: recurring patterns, likely root causes and suggested fixes, delivered as a readable summary that management and quality teams can act on directly. Sentiment analysis tags every case and message and raises alerts when a conversation turns negative; case forecasting shows next period's volume and SLA risk per category in advance.
Beside the agent: the Supervisor Bot
The Supervisor Bot is an assistant embedded in every step of customer service, trained on your knowledge base, internal documents and past resolutions. It knows the case context, the customer's history and your policies; it drafts replies, suggests the likely cause and the next step, and flags risks. In the call centre it recognises the caller, brings the cross-channel history and sentiment to the screen and surfaces the right script for the topic. New agents ramp up faster and the knowledge of experienced agents becomes institutional.
We do not put your reputation at risk
Wrong or fabricated answers to customers, and hallucinations, cost reputation. That is why our bots and agents are trained not on general internet knowledge but on your own documents, knowledge base and past cases; answers are grounded in those sources and are auditable. The level of automation is set category by category: an automatic reply to a delivery status question, a draft only on an insurance claim. Every AI decision is recorded in the case history together with its confidence score. We have written these principles down in our Responsible AI Framework. We do not sell AI for the sake of having AI.

Real R&D, Academic Depth
Connecting to a language model API is not enough to claim a position in AI. Next4biz has operated as a certified R&D centre since 2017; the team includes researchers holding PhDs and higher academic titles. The solutions we deliver are the outcome of years of research, and that research is documented in peer-reviewed publications:
- AnomalyNet: a multi-graph and transformer architecture for anomaly detection in business processes, published in IEEE Access.
- SPECTRE: decontamination and anomaly detection on process event logs, published in Cluster Computing, a Springer Nature Q1 journal.
- ASYU 2024: best paper award at the intelligent systems symposium; twice first place in the national R&D centres paper competition.
- Research on customer sentiment analysis and satisfaction scoring; the sentiment analysis in the product today is the result of that work.
The practical value of this depth is speed and accuracy. Language models, techniques and tools change fast; today's model is replaced tomorrow. Our long-running R&D approach lets us adopt new approaches quickly, and our infrastructure is built with exactly that in mind. The roadmap includes Anomaly.net (automatic detection of anomalies and bottlenecks in process logs) and Text2BPM, which generates BPMN from natural language.
End-to-End Workflows and SLA
Many tools call forwarding an email to a department a "workflow". In Next4biz, a workflow means that a case which cannot be resolved at first contact moves through a category-specific, multi-step and traceable process: tasks, forms, approvals, checklists; each step with its owner, its time limit and the data it requires. In a return request, a check task lands in the warehouse, a manager's approval is requested above an amount threshold, an instruction goes to accounting, and the customer is informed at every stage.
SLA is tracked step by step, not only as total resolution time. The moment a case lands with a team, that team's clock starts; a warning goes out as the deadline approaches, and when it passes, the case escalates to the next level of management with its full context. Business rules apply if/then logic for automatic distribution and conditional routing: a VIP customer takes the fast path, a high amount adds an approval step, the region selects the team. Priority rises dynamically with waiting time, repeat contacts and sentiment. Every action, decision and timestamp is recorded; an auditor can reconstruct the whole process from a single case. The structured data collected along the way feeds root cause analysis and corrective and preventive action (CAPA), so recurring problems are not just answered but fixed at the source.
No-Code Architecture
It is not enough for software to meet today's needs; it must adapt quickly to tomorrow's business rules, channels and products. A campaign, a regulatory change or a new product means a new category and a new workflow in customer service. If that change requires a change request, a vendor quote and a budget cycle, the system is running at the vendor's pace, not yours.
Next4biz was designed on a no-code architecture. "Parametric" software lets you tick predefined options; no-code lets you build the business logic visually. Business teams design and update the following without writing code:
- Category tree: categories, sub-categories, responsible groups, the attached workflow and forms.
- Forms and data fields: adding fields, types, mandatory rules, validation, conditional visibility.
- Workflows: steps, owners, tasks, approvals, checklists.
- SLAs and escalations: per-step targets, warnings, escalation chains.
- Business rules: if/then logic for routing, distribution, approval and triggers.
- Agent scripts and guided bot scenarios.
- Message templates, roles and permissions, reports and dashboards.
When is code needed? In short, only for custom integrations with external systems, and IT sets those up once; business teams then reuse that data in forms and workflows without touching the integration. This freedom comes with role-based permissions and a change log: who changed what, and when, is traceable. It is the quality our customers praise most: "We can put changes into production ourselves, quickly, without IT support."
Ready and Integrated
Any feature can be built with some form of programming, and any vendor can say "we have that too". What sets Next4biz apart is that it is ready: it delivers rich functionality out of the box and is only configured and integrated. Instead of open-ended consulting projects or endless development backlogs, field-proven features and configurable AI are the standard. Aligning the product with your processes is a matter of configuring rules, forms, permissions, workflows and channels.
Integration is in Next4biz's nature. Our open integration documentation lets in-house teams and partners connect quickly, and years of project experience have turned integration patterns into mature, reusable assets:
- Call centre platforms (cloud and on-premises PBX with CTI): caller recognition and screen pop.
- Native connectors for live chat, WhatsApp, social media, marketplaces, app stores and complaint and review platforms.
- Email, SMS and push notification services.
- ERP, CRM and order management systems (SAP, Oracle and others) through two-way REST APIs and webhooks.
- Enterprise identity: SSO (SAML 2.0, OAuth2, OpenID Connect), LDAP/Active Directory and SCIM provisioning.
- Embeddable components (iFrame, JavaScript) and web and mobile SDKs: put self-service, case views and chat inside your own portal and apps.
- Business intelligence: built-in dashboards and ready interfaces for Power BI, Tableau and Qlik.
In short, Next4biz is ready; it is configured, integrated and running. It is built for teams that want visible results in weeks rather than development marathons.
Data Residency, Security and Compliance
For organisations in regulated industries, choosing a customer service platform is also a compliance decision. Next4biz is positioned to make that decision easier.
Where your data lives
Next4biz CSM is hosted and operated in regional data centres, so personal data is stored and processed without leaving the relevant region:
- Germany (Frankfurt), Microsoft Azure: full EU data residency for GDPR.
- United Kingdom, Microsoft Azure: UK data residency for UK GDPR.
- United States, Rackspace: for organisations under CCPA and US sector regulation.
- Türkiye, Turkcell: a Tier III Gold certified facility for KVKK.
Each provider publishes its own compliance portfolio (ISO 27001, ISO 27017, ISO 27018, ISO 22301, SOC 1/2/3, CSA STAR and more), linked from the pages above.
Personal data commitments
Next4biz commits in writing to comply with the GDPR when processing personal data in the European Union, the CCPA in the United States and Turkish Law No. 6698 (KVKK) in Türkiye. Acting as a data processor, it processes personal data solely on the documented instructions of the data controller and destroys it when the purpose no longer exists. Personal information management is certified under ISO 27701 and BS 10012.
On-premises or SaaS
Next4biz is available both as multi-tenant SaaS and as an on-premises licence installed in your own environment. On-premises, the application and the database are entirely under your control; Next4biz has no access to production systems, and access to test systems that contain no customer data is possible only on your request and with your permission, for support purposes. AI components, including generative and guided bots, are available in both models.
Proven in regulated industries
Next4biz is deployed in the German banking sector, including KT Bank AG, a BaFin-licensed institution, and serves ING Bank, Kuveyt Türk, Şekerbank, Anadolubank and a long list of banks, payment institutions and insurers in Türkiye. Business continuity is certified under ISO 22301; independent penetration tests and security audits are carried out periodically and shared with customers. Banking regulators' outsourcing rules are addressed by Next4biz's position as a packaged product used across continents, not a bespoke development: the product is updated continuously, and continuity does not depend on any single customer's escrow arrangement.
Certified maturity
We have applied ISO/IEC 27001 (information security), ISO/IEC 27701 (privacy information management), ISO 22301 (business continuity), ISO 10002 (customer satisfaction), ISO 9001 (quality) and BS 10012 for years and renew them annually. The certificates do not sit on a wall; they run inside our processes. All policies and certificates are available on the Security & Compliance page.
Two Decades of Enterprise Experience
Next4biz was founded in 2006 by founders who saw the need for a customer service management solution that could be delivered end to end, no-code, omnichannel and as multi-tenant SaaS. Şekerbank, one of our first customers, is still a customer today. More than a hundred organisations and over a hundred thousand users now work on Next4biz in more than ten languages, on several continents. It is the most widely adopted customer service solution in Türkiye and one of the country's largest cloud software (SaaS) platforms. Operational continuity is critical to us: any outage means your customer cannot get service.
Being a product company with its own engineering has concrete advantages:
- Fast product change: new requirements enter the product in six-to-eight-week iterations; dozens of releases and hundreds of new features ship every year.
- Comprehensive support: through the company and a network of certified partners, with clear SLAs for maintenance and incident response.
- Deep domain expertise: one of the largest specialist teams in customer service and CRM, with sector experience gained in hundreds of organisations.
- References in almost every industry: banking, insurance, retail, e-commerce, logistics, consumer durables, automotive, education and the public sector.
Our first international office opened in Palo Alto in 2012 and the London office in 2018; we have appeared in the Deloitte Technology Fast 50 Türkiye and EMEA Fast 500 lists and hold Great Place to Work certification. The company's story is on the Who We Are page.
Methodology and Return on Investment
One of the biggest problems in AI and customer service projects is that the investment never pays off, or the project quietly fails. We set expectations correctly from the start: we provide a project plan and a roadmap for the implementation, and our professional project managers track both the plan and the work. Our "Road Map to Success" methodology guides teams through onboarding, configuration and integration; hands-on workshops and training make the competence permanent; and after go-live it establishes a rhythm of continuous improvement.
- CSM Implementation Plan
- CSM Training Programme
- Enterprise-scale implementation (for multi-channel, multi-unit organisations)
- All roadmaps and trainings (including CRM and BPM)
The intended, concrete benefits are delivered and measured: first-contact resolution, per-step SLA compliance, workload per agent, the share of cases resolved automatically and the drop in volume per category are tracked on built-in dashboards. In the first conversation we define together how the added value of your AI investment will be measured.
What Our Customers Say
